The agreement, in plain words.
These are the terms between a school using ZimSchool and Statotech Systems, who make it.
What we provide
Access to ZimSchool for your school, for the period your licence covers, along with the support needed to keep you running. We set up your academic year, import your first register and help build your fee structure.
What the school is responsible for
The accuracy of what is entered, and who is given an account. A school controls its own users and roles — if a member of staff leaves, removing their account is the school's to do, and we will help if asked.
Your data is yours
Records entered into ZimSchool belong to the school. You can export them at any time. If you stop using the service we will provide an export, and delete the data on request.
Availability
We aim to keep the service running during school hours and to give notice before planned work. We are a small company running real infrastructure, and we would rather tell you that than promise a number we cannot always meet. If something breaks, we say so and we fix it.
Fees and renewal
A licence runs for the period agreed with your school and is renewed by agreement. We will not change what your school pays mid-term without telling you first.
Ending it
A school can stop using ZimSchool at the end of its licence period. We will not hold your records hostage — an export is yours whether you are renewing or leaving.
Acceptable use
ZimSchool is for running a school. It may not be used to store material unrelated to that, and accounts may not be shared outside the school.
Prices, the free term and payment
Prices are per learner per term, exclude VAT, and are listed on the pricing page. A new school's first term is free; the pricing page says what happens if the school does not continue. Where a parent pays fees through the portal, the payment is taken by the payment provider (Paynow) and ZimSchool records the reference. A school that disputes a charge should write to us before the next term's invoice and we will sort it out.
Children's records
A school entering learner records confirms that it is entitled to hold them and to have them processed on its behalf. We process them only as the privacy page describes, and only on the school's instructions.
What we are not responsible for
We are not liable for loss that follows from records entered wrongly, from an account the school chose to grant, or from a payment provider's outage. To the extent the law allows, our total liability to a school in any year is capped at what that school paid us in that year, and we are not liable for indirect or consequential loss. Nothing here limits liability that the law does not let us limit.
Governing law
These terms are governed by the laws of Zimbabwe, and any dispute is subject to the jurisdiction of the courts of Zimbabwe. We would rather talk first: a school that writes to us with a problem will get a reply from a person.
